Installation of Exhibits

  • Booths

    Saturday, March 7
    (20’ x 20’ only)

    All exhibits must be fully set up by 7:00 PM ET on Saturday, March 7. Exhibitors who miss this deadline will be charged a $1,500 per hour penalty and may forfeit eligibility for future exhibit opportunities.

  • Sunday, March 8

    All large display crates must be removed from the exhibit floor by 1:00 PM ET on Sunday, March 8 in order for the service contractor to have access to install the aisle carpet.

    All booths must be complete by Sunday, March 8 at 4:00 PM ET for inspection before the evening reception.

    All exhibits must be fully set up by 4:00 PM ET on Sunday, March 8. Exhibitors who do not meet this deadline will be charged a $1,500 per hour penalty and may lose eligibility for future exhibit opportunities.

Virtual exhibit page guidelines will be sent once exhibit space has been paid in full.

Outside catering is not permitted. All/any food and beverages must be provided by the hotel’s food and beverage (F&B) department. Outside vendors of any kind are not allowed. Exhibitors who wish to order catered food or beverages must obtain written approval from MDA in advance by emailing [email protected].

Exhibitors may not be in contact with hotel until MDA approves. Failure to adhere to these guidelines may lead to the forfeiture of exhibiting privileges.

All booth design guidelines & deadlines will be available Fall 2025.

The price of the booth includes the following:

*An exhibit hall badge does not provide access to any conference sessions. To attend all conference sessions, registration as an Industry Sponsor is required.

Booth Reservations 

The booth selection process is on a first-come, first-served basis and must be reserved via the conference exhibit portal. Email reservations for exhibit booths will not be accepted.

Booth reservations are payable by credit card and payment is due at the time of selection.

The exhibit hall will be located in the Orlando Ballroom at the Hilton Orlando. Complete rules and show services will be available in the exhibitor kit. Freeman will be the general contractor for the exhibit hall.

Cancellation of Space 

Notification of an exhibitor’s decision to cancel their space must be sent via email to [email protected]. 

Any company that does not notify MDA of its cancellation by December 15, 2025, or does not occupy its space on-site, will forfeit 100% of its exhibit fee. 

Exhibitor Alert: Unauthorized Solicitations

Please be aware that fraudulent companies may attempt to contact exhibitors, claiming to offer access to MDA Conference attendee lists or promoting services such as hotel bookings or booth construction.

Do not respond to these solicitations. MDA does not sell or rent attendee lists under any circumstances.

Only vendors listed in the official MDA Exhibitor Kit are authorized to support our event. We do not share information with third parties, and any outreach claiming to represent MDA without prior confirmation should be treated with caution.

Booth Configuration:

Your booth configuration as originally sold is not permitted to be altered without written approval from MDA.

Exhibitors are prohibited from combining a pod of four (4) 10×10 booths into one (1) 20×20 booth; exhibitors are permitted to combine a pod of four (4) 10×10 booths into two (2) 10×20 booths with pipe & drape separating each booth. A pod of 10×10 booths includes the following booth numbers:

Exhibitors may combine a max. of three (3) 10×10 in-line booths. In-line booths cannot exceed 10×30.
