*Dismantling any booth prior to scheduled time is strictly prohibited. Consequences, including penalties and fines, may be applied for any resulting disruptions, loss of business, accidents, or injuries.

The price of the booth includes the following:

• Company listing published online and in mobile app
• Two (2) exhibit hall badges per 100 square feet of booth space*
• Access to sponsorship and promotional opportunities
• 2-line identification sign showing company name and booth number (10’ x 10’ − 10’ x 30’ only)

*An exhibit hall badge does not provide access to any conference sessions. To attend all conference sessions, registration as an Industry Sponsor is required.

Booth Reservations 

The booth selection process is on a first-come, first-served basis and must be reserved via the conference exhibit portal. Email reservations for exhibit booths will not be accepted.

Booth reservations are payable by credit card and payment is due at the time of selection.

The exhibit hall will be located in the Trinity Exhibit Hall at the Hilton Anatole. Complete rules and show services will be available in the exhibitor kit. Freeman will be the general contractor for the exhibit hall.

Cancellation of Space 

Notification of an exhibitor’s decision to cancel their space must be sent via email to [email protected]. 

Any company that does not notify MDA of its cancellation by Dec. 16, 2024, or does not occupy its space on-site, will forfeit 100% of its exhibit fee. 

• 50% of booth fees will be retained by MDA if cancelled before November 2, 2024 before 11:59 PM ET
• 75% of booth fees will be retained by MDA if cancelled between November 3 – December 16, 2024 before 11:59 PM ET
• No refunds after December 16, 2024

Booth Configuration:

Your booth configuration as originally sold is not permitted to be altered without written approval from MDA.

Exhibitors are prohibited from combining a pod of four (4) 10×10 corner booths into one (1) 20×20 booth; exhibitors are permitted to combine a pod of four (4) 10×10 corner booths into two (2) 10×20 booths with pipe & drape separating each booth. A pod of four (4) 10×10 corner booths includes the following booth numbers:

• 509, 511, 608, 610
• 523, 525, 622, 624
• 633, 635, 732, 734
• 711, 713, 810, 812
• 725, 727, 824, 826

Exhibitors may combine a max. of three (3) 10×10 in-line booths. In-line booths cannot exceed 10×30.
